How does synchronization with Servant Keeper work?

Servant Keeper is the only church managements system with a unique 2-way sync with Ministry Scheduler Pro. This means that no matter where you make a change, information will be updated in both programs. Additionally, Servant Keeper 8 is the only cloud-based system that syncs with MSP. 

To get a good idea of how this works - and how to use this to your best advantage, let's discuss some of the detail of how it works. 

Initial sync

When first syncing with Servant Keeper, you can follow the steps provided in our syncing video:

During this process, it is important to know what fields in the Attributes tab of the volunteer profile will be synced. In additional to contact information, these are the fields in Servant Keeper that sync with MSP:

  • Skills and talents
  • Leadership
  • Spiritual gifts
  • Activities
  • Willing to serve

This process will take the information from Servant Keeper and bring it into MSP. For any volunteers who might already exist in MSP, they will be matched via first and last name during the sync process, so be sure that their name in both databases is the same. The data in Servant Keeper will then be updated in their MSP profile. 

From here, MSP and Servant Keeper sync in real time, meaning when you make a change in one database, you will see it in the other, as well. Volunteers will be linked between both systems using an internal ID number, so even changes to names will be sure to update the correct profile. 

Adding ministries

If at some point, you would like to sync an additional ministry between MSP and Servant Keeper, you can do so by going to the "Synchronize volunteers with.." option from the File menu of MSP. Click Continue to get to this screen:

Now, click the "ministries" button in the middle of the screen to choose additional ministries to sync between MSP and Servant Keeper.
