Print emails that can then be mailed to volunteers without internet access

Using MSP's Announcements pane, you can print emails for volunteers without internet access, which ensures all of your volunteers stay informed. The tokens in the email body will be filled in when the email is printed - making it easy to generate and mail personalized letters to volunteers without email.

First, you must send the email to your volunteers with internet access: 

  1. Start in the Announcements pane in MSP. To load a preconfigured template to send to the volunteers, click on the "Use template" button at the top of the window, select "Preconfigured" and choose the email you are going to send, for example, the "Schedule finalized" email. Make any edits.
  2. Click on the Token menu on the right hand side of the email to select the tokens for the email, then hit the "Preview" button and click on a volunteer's name to see what the email will look like when it is printed, then click the "Send" button to send the email your volunteers with internet. 
  3. To print out any email that you have already sent, click on the down arrow next to the "View email" on the main page of the Announcements pane.  Select "Print to PDF", then choose "Just for recipients without internet access".  MSP will then export one copy of the letter for each individual that does not have an email address listed in MSP to a PDF to be printed.

BONUS: Use the Mailing Labels pane inside of MSP to generate mailing labels just for volunteers without Internet access to pair with the letter and voila! Add an envelope and a stamp and the letters are ready to go.
